Usage and testing

  1. Create a sample document that matches your configured criteria (for example, a Sales Order with amount > configured threshold).
  2. From the document, use the Send Smart Approval Request action (or trigger the workflow) to create an approval request.
  3. Verify an Approval Entry is generated (check the Approval Entries page).
  4. Confirm approver(s) receive notifications (email includes a URL with order details) and that approvals move the document to release/post status.

Notifications

  • Notifications may be grouped if multiple messages are sent close together; recipients will see grouped entries in their inbox.

Edge cases and tips

  • If a current user is calculated as an approver, their portion may be auto-approved — test using a different user to validate routing.
  • For validation criteria that block processing, provide clear response messages so users know how to remediate (for example: "Customer blocked — please review").
  • Test both approval and validation scenarios (warnings vs errors) and tune messages/prompts accordingly.
